Imrama Psychology: Booking Terms and Conditions

About these terms 

These terms and conditions apply to all appointments booked with Imrama Psychology, whether booked directly through the client portal, by email, or by phone. By booking an appointment you are agreeing to the terms set out below. If you have any questions about anything here, please get in touch before your first session, Claire is happy to talk through anything that isn't clear. 

 

1. Appointments 

1.1 Booking Appointments can be booked through the Imrama Psychology client portal, by emailing admin@imramapsychology.com.au, or by arrangement with Claire directly in session. All appointments are subject to availability. 

1.2 Confirmation Your appointment is confirmed once you receive a confirmation email and/SMS through Zanda. Please check your junk or spam folder if you do not receive this within a short time of booking. 

1.3 Appointment length All sessions are 50 minutes in duration unless otherwise agreed in advance. 

1.4 Punctuality Sessions begin and end at their scheduled times. If you arrive late, your session will still end at the scheduled time and the full session fee applies. If Claire is unexpectedly delayed, she will contact you as soon as possible and your full session time will be honoured. 

1.5 Attendance Imrama Psychology is a private practice offering appointments by arrangement. It is not a walk-in or crisis service. If you require urgent or emergency support, please present to your nearest emergency department. For crisis support, Lifeline on 13 11 14, Beyond Blue on 1300 22 4636, are available 24/7. 2. Cancellation and late notice policy 

2.1 Notice required 48 hours' notice is required to cancel or reschedule an appointment. You can do this through the client portal, or by emailing admin@imramapsychology.com.au.  

2.2 Late cancellation Where notice of cancellation or rescheduling is given with less than 24 hours' notice, a fee of 50% of the session fee applies. 

2.3 Non-attendance Where a client does not attend a scheduled appointment without prior notice, the full session fee applies. 

2.4 Rebates Cancellation fees are not eligible for Medicare or private health fund rebates, regardless of the circumstances. 

2.5 Genuine emergencies Claire understands that unexpected things happen. Genuine emergencies will always be considered on a case-by-case basis. If something arises, please contact Claire directly as soon as you are able by emailing admin@imramapsychology.com.au. As it is a solo private practice, the sooner you can let her know, the more likely it is that the appointment can be offered to someone else. 

2.6 Cancellation by Imrama Psychology In the unlikely event that Claire needs to cancel or reschedule your appointment, she will contact you as soon as possible and no cancellation fee will apply. Where possible, an alternative appointment time will be offered. 

 

3. Fees and payment 

3.1 Session fees Current session fees are set out in the Imrama Psychology fee schedule, available on the website and through the client portal. Fees are reviewed annually and are subject to change. You will be notified of any fee changes in advance. 

3.2 Payment Imrama Psychology is a cashless practice. Payment is required at the end of each session by credit or debit card or by bank transfer. Payment is processed securely through Zanda. 

3.3 Invoicing Invoices and receipts are issued automatically through Zanda following each session and are available to view and download through the client portal. 

3.4 Outstanding payments Where a payment remains outstanding, Claire will follow up directly. Continued non-payment may affect the ability to continue booking appointments. 

3.5 Between-session administration Brief administration tasks, including referral letters and correspondence with treating clinicians are included in the session fee when occasional and taking less than 15 minutes. Where tasks require more than 15 minutes, an administration fee of $80 per 15-minute increment applies. This will always be discussed with you in advance. 

4. Medicare and private health fund rebates 

4.1 Medicare rebates Medicare rebates are available for eligible clients holding a current Mental Health Treatment Plan (MHTP) or Eating Disorder Treatment and Management Plan (EDTMP) prepared by a GP or specialist. The rebate is processed at the time of payment. It is your responsibility to ensure your referral is current and valid at the time of your appointment. 

4.2 MHTP session limits A Mental Health Treatment Plan covers up to 10 individual sessions per calendar year. Your initial referral covers up to 6 sessions. A further referral from your GP is required to access the remaining sessions up to the annual cap. 

4.3 EDTMP session limits An Eating Disorder Treatment and Management Plan covers up to 40 sessions per 12-month period. Plans must be renewed at the end of each 12-month period to continue accessing this rebate stream. 

4.4 Medicare Safety Net Once your out-of-pocket costs reach the Medicare Safety Net threshold in a calendar year, you may be eligible for a higher rebate for the remainder of that year. You can track your Safety Net balance through your Medicare online account or the Express Plus Medicare app. 

4.5 Private health fund rebates Some private health extras policies include clinical psychology cover. It is your responsibility to confirm your entitlements with your fund before your appointment. Imrama Psychology cannot guarantee rebate eligibility or amounts. 

4.6 Rebates and cancellations Medicare and private health fund rebates do not apply to cancellation fees, administration fees, or any charges other than completed clinical sessions. 

 

5. Telehealth 

5.1 Availability Telehealth sessions are available to clients across Western Australia and Australia-wide. The same standard of care, session length, and fee structure applies to telehealth and face to face sessions. 

5.2 Platform Telehealth sessions are conducted via Zanda's integrated telehealth platform. Your secure session link will be sent to you before each appointment. No software download is required. 

5.3 Your responsibilities When attending via telehealth you are responsible for ensuring you are in a private location where you cannot be overheard, using a secure internet connection, and having a device with a working camera and microphone. If you experience technical difficulties, Claire will attempt to contact you by phone. 

5.4 Recording Telehealth sessions are not recorded by Imrama Psychology. You are not permitted to record sessions, audio, video, or otherwise, without prior written consent from Claire. 

5.5 Medicare rebates for telehealth The Medicare rebate is identical for telehealth and face to face sessions and applies in the same way under a current MHTP or EDTMP. 

 

6. Confidentiality 

6.1 General confidentiality All information shared within sessions and through the intake process is treated as strictly confidential. Your personal and health information will not be disclosed to any third party without your written consent, except in the specific circumstances outlined below. 

6.2 Mandatory exceptions Confidentiality may be overridden in the following circumstances, as required by law and the Psychology Board of Australia Code of Conduct: 

  • Where there is a serious and imminent risk to your life, health, or safety, or to the life, health, or safety of another person. 

  • Where there is a disclosure of abuse or neglect of a child or vulnerable person, as required under the Children and Community Services Act 2004 (WA). 

  • Where records are subject to a legally valid court order or subpoena. 

  • Where disclosure is required by AHPRA, the Psychology Board of Australia, or another regulatory authority. 

Where possible and appropriate, Claire will inform you before any legally required disclosure is made, and will disclose only the minimum information necessary. 

6.3 Clinical supervision As required by the Psychology Board of Australia, Claire accesses regular clinical supervision. Your case may be discussed in supervision in a confidential manner, using only the minimum information necessary. All supervisors are bound by the same confidentiality obligations as your treating psychologist. Your consent to this is obtained as part of the intake process. 

6.4 Authorised disclosures With your written consent, Claire may share relevant clinical information with your GP, referring practitioner, or other treating health professionals involved in your care. 

 

7. Your rights 

7.1 Access to records You have the right to access personal information held about you by Imrama Psychology, subject to limited exceptions under the Privacy Act 1988 (Cth). To request access to your records, please contact Claire in writing at admin@imramapsychology.com.au. Requests will be responded to within 30 days. 

7.2 Correction of records If you believe information held about you is inaccurate or incomplete, you may request a correction by contacting Claire in writing. 

7.3 Withdrawal of consent You have the right to withdraw consent to treatment at any time. Please be aware that withdrawal of consent may affect the ability to continue providing services. 

7.4 Complaints If you have a concern about your care or about how your information has been handled, you are encouraged to raise it with Claire directly in the first instance. If you are not satisfied with the response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or 1300 363 992, or with the Psychology Board of Australia via AHPRA at www.ahpra.gov.au or 1300 419 495. 

 

8. General 

8.1 Governing law These terms and conditions are governed by the laws of Western Australia and the Commonwealth of Australia. 

8.2 Changes to these terms Imrama Psychology reserves the right to update these terms and conditions from time to time. The current version will always be available on the website and through the client portal. Continued engagement with Imrama Psychology following any update constitutes acceptance of the revised terms.

These terms and conditions are consistent with the Psychology Board of Australia Code of Conduct (effective 1 December 2025), the Privacy Act 1988 (Cth), the Australian Privacy Principles, and current Medicare requirements.
